Why a paper receipt still matters in a park
Most billing software emails a receipt and stops there, which quietly assumes every resident has an email address on file. In a small mobile-home park that assumption breaks on exactly the residents it matters most for: the ones who pay cash at the office window are disproportionately the ones with no email address, no online account, and no bank record of the payment. If nothing is printed, nobody has anything.
That is why the duplicate receipt book has survived every generation of property software. It is not nostalgia — it is that a receipt signed in front of the person who paid, with one copy going each way, settles a dispute before it starts. A resident who can produce a receipt does not have to be believed, and neither do you. What to write on it
- The period, not just the month. "September 2026 rent" is unambiguous; "September" is not, and a receipt gets read a year later.
- How it was paid. Cash, check, or money order — and the number if there is one. That number is what lets either of you find the payment again.
- What it does not cover. If the payment is partial, or the water bill is still outstanding, say so on the receipt. A receipt that reads like the month is settled is the one you will argue about.
- A signature. Print it, sign it, hand it over. An unsigned receipt is a printout.

Common questions
What has to be on a rent receipt?
The date you received the money, who paid it, the amount, what it was for (the month or period, and the lot or unit), how it was paid — cash, check, or money order, with the check or money-order number if there is one — and who received it, signed. Those seven items are what makes a receipt worth anything later: they let anyone reading it match the payment to a month and to a person without asking you.
Do I have to give a receipt for rent paid in cash?
In several states, yes — a landlord must give a written receipt for a cash payment, or must give one whenever the resident asks, and some states require it for every payment regardless of method. The rules differ by state and sometimes by city, so check yours. As a habit it is worth doing everywhere: cash is the payment with no bank record behind it, so the receipt is the only evidence either side has that it happened.
Should I keep a copy of the receipt?
Yes — that is why this tool prints two on one sheet. The resident keeps one copy and the other goes in your file, the way a carbon receipt book works. If the payment is ever disputed, two matching copies signed on the same day is a much stronger record than one, and it costs you nothing but the second half of a page.
How do I write a receipt for a partial payment?
Write it for the amount you actually received, not the amount that was due, and say plainly that a balance remains — a receipt that reads like the month is settled is the one that causes an argument. Be careful here for a second reason: in some states accepting a partial payment can affect an eviction already underway, or waive a notice you have served. If you are mid-process, check your state's rule before you take the money.
Can I use this as a rent receipt template every month?
Yes. Fill it in, print it, and bookmark the page — the numbers travel in the web address, so the bookmark reopens with everything except the amount and the date already filled in. Is a rent receipt the same as an invoice or a statement?
No. An invoice asks for money and a statement shows a running balance; a receipt confirms money already changed hands. An owner usually needs all three across a month, and they should agree with each other — the receipt you hand over at the folding table and the balance you quote on the phone two weeks later have to be the same story.
